Create AutoTexts and AutoCorrects in Microsoft Word and Save Time

AutoTexts and AutoCorrects in Microsoft Word help you store predefined words and paragraphs and re-use it whenever you want without requiring you to re-type the whole sentences again. For example, you can create an AutoText or AutoCorrect to quickly insert boilerplate paragraphs for business letters, contracts, reports, etc. AutoTexts and AutoCorrects can contain anything a normal Word document can contain – text formatting, pictures, cliparts, etc.

AutoText:

Reusable content that can be accessed again and again by clicking the AutoText button.

AutoCorrect:

Reusable content that is automatically inserted as you type a predefined word / phrase.

Note: All the screenshots shown below are taken in Microsoft Word 2010. The process is almost similar in Word 2007.

How to Create an AutoText?

You can easily create an AutoText in Microsoft Word 2007 or 2010. To do that:

Step 1: Type out the content you like to reuse again. Format the texts according to your requirment.

Step 2: Selet the content you typed | Click on Insert Tab | In the Text Group, Click on Quick Parts | Click “Save Selection to Quick Part Gallery…”.

Step 3: In the Create New Building Block dialogue box, insert a name for the AutoText | Select AutoText from the drop down menu in Gallery | Click OK.

You have just created an AutoText!

How to Use an AutoText?

Now let’s see how to use an AutoText. In the earlier example, you created the content for an Agenda and saved it as AutoText. To use it again to save time from retyping the whole content again:

Step 1: Create a new document or select the location in an existing document where you want the AutoText to appear

Step 2: Click on Insert Tab | In Text Group, Click on Quick Parts | Click on AutoText | Select the AutoText you want to use.

The entire contet in the AutoText with all formatting is automatically inserted now.

How to Create an AutoCorrect in Word?

You can create an AutoCorrect to automatically insert boilerplate paragraphs like the one we saw in the previous section. To create an AutoCorrect:

Step 1: Type out the content you like to automatically insert as you type. Format the texts according to your requirment.

Step 2: Select the content you want to Auto-corrected | Click on File Tab | Click on Options | Proofing | Click on “AutoCorrect Options…”

Step 3: In the AutoCorrect dialogue box, click on “AutoCorrect Tab | Select “Replace text as you type” | You should see your selected content in the ‘replace with’ field | Type a word or phrase that you want to be automatically replaced.

Step 4: Click Add | Click OK | Click OK.

You have just created an AutoCorrect in Word.

 

How to Use AutoCorrect?

To use an AutoCorrect, simply type the word or phrase you have saved, in the example below, the phrase is “in order to”, and then click Enter. This insert the entire paragraph you saved earlier.
